Thank you gift etiquette: what to send and when

The best thank you gifts feel warm and sincere, without making the recipient feel they now owe you something back.

Send it while the moment still feels fresh

A thank you gift has the most meaning when it arrives close to the moment you are recognising. That might be after someone has helped you, hosted you, supported your family, sent a referral or gone out of their way at work.

If time has passed, it is still worth sending. A simple line like, I have been meaning to say this properly, can make a delayed thank you feel thoughtful rather than awkward.

Keep the size appropriate

A thank you gift should feel generous, but not uncomfortable. For a personal thank you, a small box with tea, biscuits, a candle or a keepsake card can be enough. For a client, colleague or supplier, choose something polished and easy to share or enjoy.

The aim is appreciation, not performance. When in doubt, choose presentation and message over size.

Make it easy to receive

Avoid gifts that create work for the recipient. A box that arrives ready to enjoy is usually better than something that needs arranging, assembling or collecting.

This is especially true for professional thank you gifts. Keep the tone warm, tidy and thoughtful. A personal message can still be included without making the gift feel too familiar.

What to write in a thank you note

Be specific about what you are grateful for. Instead of simply writing thank you for everything, mention the help, kindness or time they gave.

A good thank you note does not need to be polished. It needs to feel true.
